A comprehensive schedule must take into consideration resource capacity planning. Many Contract Documents require the schedule to be cost and/or resource loaded and that those resource assignments must be updated. If the Contract Documents require the use of Primavera P6™, it is important for the Beginner Scheduler to know how to effectively load and plan resource hours/units and understand the myriad of options within the P6™ resource utility that affect the process of updating.

Primavera P6™ contains several features that assist in establishing a well-defined resource plan while efficiently managing resource allocations. Several of these options affect the ability to effectively update the resource units/costs. A new or in-experienced user can become overwhelmed in the attempt to grasp these features defined at various levels of the project and overall enterprise organization without proper instruction.

The lessons discussed in this presentation will help the scheduler to develop effective resource plans that meet their organizational requirements and their project contractual obligations regarding resource loading and updating.

Resource Definition and Configuration

Resources in Primavera P6™ are defined at the Enterprise or corporate level, meaning that their settings are applied across all projects. Resources settings are applied that a given resource across all assignments for all projects in the database. It is important to understand and establish these settings appropriate to meet the contractual requirements as well as internal requirements.

User Settings

Although resources are global, user specific settings govern how each user views resource data, as well as how the resources are assigned to the activity. The beginner should understand how their settings can not only affect the resource assignments but also how their settings can affect the transfer of resource data from one database to another (i.e. Contractor to Owner).

Project and Activity Specific Controls

Although resource settings and user settings are applied to resource and user across the database, at each project level there are controls the can override the resource settings for the activity assignments. The project level settings as well as resource assignments at the activity level affect the process of updating resource assignments and must be taken into consideration by the scheduler.

Updating Resource Assignments – Two Scenarios

There are two scenarios to update resource assignments: actualizing activity percent complete can be used to update resource assignments and manually updating resource assignments regardless of activity percent complete. The scheduler should consider the contract requirements for resource updating and review the settings that allow for either of these two scenarios.

With automatic calculation, the resource costs are based on units, and the activity’s duration percent complete is used to update the units (and the costs).

With manual entry, the project level settings can be used to override resource settings (i.e. below Resource A is set to Auto Compute Actuals, however the project settings have disabled updating resources by duration % complete; and Resource B does not have the Auto Compute Actuals settings enabled).

Resource Curves and Financial Periods

Budgeted resource allocations as well as resource actuals can be modified by establishing resource curves and using financial periods. The beginner scheduler should understand the usage of these options within Primavera.

There are several views in Primavera that can be used for resource budgeting and planning as well as viewing actual data. This presentation will review some of the reporting functionality within Primavera P6. The Resource Usage Profile (within the Activities window) provides a graphical representation using histograms and curves to display resource assignments. The Resource Usage Spreadsheet provides a spreadsheet of specified data with selected resource data fields.

Ms. Schumacher has over 20+ years of experience in the construction industry with primary focus on planning, scheduling and project controls.  Her project experience includes commercial, residential, multi-family, retail, hospital, medical, hospitality, education, casino, infrastructure, and industrial projects for both private and public owners.  Over the past few years she has presented several papers at national and international conferences related to project management, specifically scheduling the project, including the article, ‘Lessons Learned – Schedule Development Using Primavera P6™’, published in the July 2011 edition of Cost Engineering journal.  Hannah is an active member of AACE International and is currently serving as the PSP Chair for the Certification Board, Secretary for the Planning & Scheduling Committee, Officer for the Women in Project Controls Committee, and Director for the Arizona Section.

Charlie Jackson
VP Primavera Services, Hill International

Mr. Jackson specializes in project management and those applications required for successful implementation of project/program strategies with a focus on project controls applications, including industry standard programs. Within the construction industry he has had hands-on knowledge of both project schedule development and maintenance working with Owners and Contractors to communicate project performance. Based on his experience and project management best practices he has developed custom training courses and sessions to promote successful project planning and execution. Over the past few years he has presented several papers at national and international conferences related to project management, specifically scheduling the project, including the article, ‘Lessons Learned – Schedule Development Using Primavera P6™’, published in the July 2011 edition of Cost Engineering journal.
